Team Registration Steps

#1 - REGISTER TEAM WITH WEST TEXAS YOUTH BASEBALL

Register Team with WTYBL using the TEAM REGISTRATION FORM.

# 2 - REGISTER TEAM WITH USSSA + Coach Background Checks + Team Insurance

New to USSSA: If this is the first time registering a team with USSSA, you will need to set up as a manager first. Here’s a link: https://www.usssa.com/how-to-create.  Once you do this, you will be directed to complete your annual background check. NEW PROCESS FOR BACKGROUND?

Once that clears, you will be able to add assistant coaches, who must also do their background checks.

Already set up with USSSA: If you have registered a team with USSSA but haven’t registered a team for the 2026 season (8/1/2025-7/31/2026), log in using your ID and password. If you can’t remember that info, email baseball@kidsinc.org with the team name, age, and year you registered, and we will get you the login.

LOGIN PAGE:  https://www.usssa.com/login. Once you do this, you will be directed to complete your annual background check. Once that clears, you will be able to add assistant coaches, who must also do their background check. 

#3 - ADD ROSTER TO USSSA

After creating a team and passing your background check, you can log in and enter all of your players and assistant coaches (All assistant coaches have to be listed on your USSSA roster and pass the same background check. Please don’t get in a situation where a coach isn’t cleared, as it will get you suspended by the national office. This takes time and requires parents to complete the online acceptance and waiver, so don’t put it off until the last minute.

Make sure to list the player’s name and D.O.B. as it appears on their birth certificate, BUT ONLY USE FIRST & LAST NAME. You will also need the parents’ names, phone numbers, and email addresses so they can receive the link to accept and sign the USSSA waiver. When adding players, it will probably ask for the players’ and parents’ mailing addresses, but it’s not required. Once all players are listed on the printable roster as approved, print it and turn it in. If you have any roster issues, email Victor.Falvey@USSSA.com and cc baseball@kidsinc.org, and make sure to include all of these: Team name, Age, and USSSA registration #.



#4 - PURCHASE TEAM INSURANCE POLICY

No team can practice or have any other team event before purchasing a policy. No team will be allowed to participate in any game/event without a policy. You will need to log in to your USSSA team site. Once there, you should see your 2026 team. Click on that, and then you’ll see a place to purchase team insurance.

IMPORTANT: If you think your policy is still good from fall and it’s still prompting you to purchase insurance, please get in touch with USSSA Ins by email at USSSA@EPICBROKERS.COM  or Insurance@USSSA.com. They’ll need your team name and registration number. Also, if you’ve changed your team name or it doesn’t match the age and team name on the certificate of insurance, you’ll need to contact them to update it. 

#6 - SUBMIT PAYMENT FOR TEAM REGISTRATION

  1. Online, using the payment link that was included in the confirmation email you received after submitting the TEAM REGISTRATION form.

#7 - PLAYER REGISTRATION- WTYBK

All players must register and complete a waiver through WTYBL.

Coaches: Send the PLAYER REGISTRATION link to your players’ parents.

#8 - SUBMIT BLACKOUT FORM

*Once schedules are finalized, missed games will result in a forfeit unless your opponent can accommodate a change and an open slot is available.

  1. Review potential conflicts with parents, including school testing, school or church events, and tournaments (local and travel).
  2. List all conflicts on this form. Early games will still be played during testing weeks, as players will return home in time.
  3. If conflicts arise after submission, email updates to baseball@kidsinc.org as soon as possible. You will receive a confirmation reply marked “Received.” If you do not receive a reply within 24 hours, please resend the email and call the office to confirm receipt. 
  4. Remember, teams may play with eight players and may borrow from other league teams per league rules.

#9 - ASSEMBLE YOUR TEAM NOTEBOOK

All teams should keep a notebook and carry it with the team at all times. Here are some things that should be in this notebook. If you do this, you’ll have no problems playing locally or out of town.

League Information – Spring

League Play Overview

We are excited to kick off our 22nd year of providing league play for select teams ages 9U–14U. League play gives teams the opportunity to develop in a true game setting without the pressure of “win to advance” tournament formats.

At every level of baseball—from high school and beyond—players grow through practices and preseason-style games. League games allow athletes to work through challenges, learn multiple positions, and develop confidence in real game situations. While tournaments are fun and important, league play creates the foundation for long-term player growth. We understand league games aren’t always convenient, which is why we work hard to accommodate tournament schedules.

Flexible Options for Tournament Teams

We’ve made several adjustments to better support teams that play tournament baseball while still benefiting from league play.

For teams who travel frequently, coaches may choose a full season or half-season schedule. We encourage teams to play as many league games as possible, as these games help develop not only your team but also baseball players across the region—preparing all athletes for future high school tryouts.

League games are scheduled Tuesday through Thursday, leaving Friday through Monday open for tournament play. This structure allows teams to maintain strong practice schedules during the week while keeping weekends available for travel.

If your team has open weekends, please list them on the blackout form. These openings may allow optional weekend games, helping relieve weekday schedules and accommodating teams that prefer weekend play when possible. Game days apply to West Texas teams ages 9U–14U.

Recent Game Format Changes

After polling coaches, we implemented updates to maximize development while helping families get home earlier on school nights.

  • 5-run maximum per inning for the first 3 innings

  • Run rule: 15 after 3 innings, 12 after 4, 8 after 5

  • No new inning begins with 5 minutes or less on the clock

  • Game time starts after the plate meeting; coaches and umpires set timers

  • Umpires enforce a 90-second limit between half innings

Coach Pitch, Rookie, and All- Star Updates

The coach pitch division is no longer part of the West Texas Select Program. Younger players can now focus on fun and development before transitioning into the competitive select level.

This change helps keep experienced coaches involved at younger ages and supports long-term development for more area athletes.

In the Rookie 7U–8U division, coaches may form their own teams and participate in preseason tournaments, along with additional tournament options after All-Stars.

With the return of All-Stars, advanced players can compete in the Cal Ripken/Babe Ruth All-Star trail. We added a sectional tournament between District and State, giving teams three West Texas tournaments after the regular season.

This structure supports skill development while keeping baseball fun and accessible at younger ages—helping players grow and advance toward high school opportunities.



Team Registration Options & Fees

  • Season begins: Week of March 31

  • Season ends: No later than June 10

    SEASON OPTIONS

    • Full season: 14 games- Team entry fee: $1,600

    • Half season: 7 games – Team entry fee: $800

  • Registration deadline: March 3

Schedules and Black Out Form

Blackout Form

The blackout form is submitted online, but will be done separately from the team registration. This gives teams time to discuss needs with parents and list conflicts they may have.

The deadline to submit a blackout form is Monday, March 3rd. We need time to lay these out and can’t accept any past that date.

 We will post the league schedules the week of March 24th and start playing the following week.

PLEASE SPEND TIME WITH YOUR TEAM AND MAKE SURE YOU INCLUDE ANY CONFLICTS YOUR TEAM WILL HAVE.

The season begins the week of March 31 and ends no later than June 10th. Once the schedule is set, you’ll forfeit the game unless your opponent can work with you AND we have an available spot.  

If you need to make changes to your blackout form, please email Baseball@kidsinc.org with “Blackout Update” as the email subject.

REMEMBER YOU CAN PLAY A GAME WITH 8 PLAYERS AS WELL AS BORROW FROM OTHER LEAGUE TEAMS PER OUR LEAGUE RULES. 

 



Team Notebook

1. Copies of Team Roster: player names must match birth certificates (first and last name only). If there is an error, email the team name, registration number, corrected player name, and a copy of the birth certificate to victor.falvey@usssa.com and copy baseball@kidsinc.org.

2. Birth Certificates: Coaches must keep certified copies of original birth certificates. Do not turn these into the league; they must be available in case of a player protest.

4. Additional Items: Lineup cards, team contact sheet, scorebook, USSSA national rules, and local rules for any events you attend.
